A catering company had three years of supplier invoices in filing cabinets — roughly 1,000 pages, scanned in one batch to a single PDF. Mixed quality: some pages crisp, some photographed at an angle, some with handwriting in the margin. He wanted spend by vendor and by category. He had already tried this himself: he uploaded the PDF to a consumer AI tool and got back a report that read beautifully and, when he spot-checked it against the paper, was wrong. Line items that weren’t on any invoice. Totals that didn’t match their own invoice. Credits counted as purchases. He couldn’t tell which parts were right without redoing all of it, so the report was worth nothing to him.

What we did

We ran the same file through our extraction pipeline. Every page was read twice using two different scan settings and the two reads compared — disagreements went to a person to read off the image. Every figure carrying money, a date, or an invoice number was scored for read confidence, and anything below threshold was flagged rather than guessed. Every extracted value was then checked back against the raw text of its own source page. Each invoice had to reconcile on its own arithmetic: line items plus tax plus freight equals the invoice total. Returns were netted against their rebills instead of counted twice. Two invoices didn’t tie, and our analyst worked those by hand alongside a random sample of the ones that passed.

What they received

A sortable workbook: every invoice, every line item, categorized by vendor and spend type, with per-invoice subtotals reconciling to the scan and a grand total reconciling to the sum of them. Corrected rows are marked with what changed and why. Plus the spend summary he originally wanted — built on numbers that tie back to the paper. The finding that mattered: produce spend with one vendor had risen 19% over two years against flat volume. That was in the first AI report too. He just had no reason to believe it.

Why it got caughtA fabricated line item can be perfectly plausible — right vendor, right price range, right format. What it cannot do is appear in the source page it claims to come from. Checking every figure against its own page is what separates a report that reads well from one that’s true.

What the client needed

A distributor with fourteen sales reps on a tiered commission structure. The owner’s spreadsheet — inherited from a previous controller, edited by four people over six years — had started producing payouts that two reps were disputing. He couldn’t find anything wrong with it. Neither could his accountant. He wanted to know whether the reps were right before it became a bigger problem.

What we did

Rather than read the formulas hunting for the bug, we ignored the workbook’s own math entirely and recalculated all fourteen reps across twelve months independently — 168 payouts computed from the raw volume figures and the written commission policy, with no reference to the spreadsheet’s logic. Then we compared. 161 matched. Seven didn’t, and all seven belonged to the two reps who had complained. The cause was a tier lookup set to approximate rather than exact matching, which silently returned the tier below the correct one whenever a rep’s monthly volume landed exactly on a boundary. It only fired on an exact boundary hit — which is why it was rare, why it looked correct on inspection, and why it survived six years and four editors.

What they received

A repaired workbook with the lookup corrected and locked, a reconciliation showing all 168 payouts recomputed and matching, and a schedule of exactly what was owed to whom and for which months. Cumulative underpayment across the two reps: $6,430.

Why it got caughtReading a formula tells you what it says. Recomputing the answer a second, independent way tells you whether it’s right. Only the second one finds a bug that has been hiding in plain sight for six years — and it’s the check an AI asked to “review this spreadsheet” almost never actually performs.

A multifamily investor had a 24-unit building under contract at $4.85M. He needed a five-year cash flow model to show his lender. He had his rent roll and expense history, no spreadsheet.

What we did

We built the full model from his numbers, then recalculated it cold with a separate spreadsheet engine and audited every value against the source figures he sent. That audit surfaced the vacancy assumption (5%) being applied only to gross rent rather than to effective gross income, which overstated Year 3 NOI by $47,200 — the kind of error that reads as correct on screen because the formula looks reasonable and the total looks reasonable. A lender would have flagged it immediately. We corrected it, added a sensitivity tab at 7% and 10% vacancy, and included a note explaining the adjustment.

Why it got caughtA model can be internally consistent and still wrong, because every downstream number faithfully inherits the bad assumption — nothing looks broken. Recomputing the workbook independently and checking each written value against its source is how a plausible-looking assumption error gets found.

A framer had a 40-page residential plan set with three revision markups layered in. He needed a full material count for a bid going out the same afternoon. He didn’t have time to read every sheet carefully — he was counting on the takeoff to be right.

What we did

We read all 40 pages and built the itemized count, cross-checking every header against the plan set’s own revision markups rather than against the sheet as drawn. On sheets 12 and 17 the garage framing headers still showed the pre-revision size; the revision cloud was there but easy to miss at speed. We flagged the discrepancy, used the updated spec shown on the markup, and noted it plainly in the deliverable so he could confirm with his engineer before ordering.

What they received

An itemized takeoff by material type with the two corrected header dimensions called out. The LVL spec versus the old one was a $6,800 difference on the lumber order.

Why it got caughtA takeoff read straight off the drawings is internally consistent and completely wrong when a revision changed the spec. The check that catches it is reconciling the count against the sheet’s own revision markups — not reading faster or reading twice.

Errors in our work

If a delivered file contains an error traceable to our extraction, calculation or modeling, we correct it at no charge. If you would rather not continue, we refund the order in full. Report it within 14 days of delivery.

Cancellation

Cancel any time before work begins for a full refund. If production has already started, we refund the portion not yet completed.

Scope changes

If your documents turn out to need substantially more work than the quote covered, we contact you before going further. You can approve a revised quote or cancel for a full refund. We do not do extra work and bill you for it afterwards.

Disputes

Please contact us first at info@binadesk.com. We reply within one business day and would far rather resolve it directly than through your card issuer.

Refunds are issued to the original payment method and typically appear within 5–10 business days, depending on your bank.
